A hotel with two hundred rooms will sometimes hold more than two hundred reservations for the same night. This is deliberate, arithmetically driven, and governed by a recovery process.

No-shows are predictable in aggregate

On any given night a certain number of confirmed guests will not arrive. Plans change, flights are missed, and flexible bookings are abandoned without a cancellation call.

Individually those events are random. Across hundreds of reservations they are stable enough to forecast from the property's own history for that day and season.

If a hotel sells exactly to capacity, it will run below capacity almost every night, losing revenue that cannot be recovered later.

The overbooking figure is calculated, not casual

The number of extra reservations accepted is set against the forecast no-show rate, adjusted for how the mix of bookings behaves.

Non-refundable bookings almost always show up, so a night dominated by them supports very little overbooking. Flexible corporate bookings support more.

The calculation weighs the revenue from an extra sold room against the cost of relocating a guest, which is far higher than one night's rate.

Relocation follows a defined sequence

When arrivals exceed rooms, the hotel places the affected guest at a comparable nearby property and pays the difference, usually with transport and a phone call arranged.

Selection is not arbitrary. Loyalty members, long stays and guests with guaranteed reservations are protected first, and one-night bookings made through third parties are moved first.

Well-run properties treat this as a service recovery rather than an administrative task, because a relocated guest is the one most likely to describe the experience publicly.

Distribution complicates the picture

Rooms are sold simultaneously through the hotel's own site, travel agencies, wholesalers and corporate systems, all drawing on shared inventory.

Synchronisation between those channels is close to instantaneous but not perfect, and a burst of bookings across several channels at once can push a night past capacity unintentionally.

That is why unintended oversell tends to happen on the busiest nights, exactly when nearby alternatives are also scarce.

What reduces a traveller's exposure

Guests with the least protection are those whose reservation the hotel can see least clearly, particularly bookings held by an intermediary with no card guarantee.

Arriving late without notifying the property increases risk, since the relocation decision is made as rooms run out rather than after everyone has arrived.

A guaranteed booking, a loyalty number attached to the reservation and a short call confirming a late arrival all move a guest up the protection order.
