One hotel accepts cancellation until six in the evening, another requires thirty days' notice for the same length of stay. The difference reflects how easily each expects to resell the night.
The deadline prices resale probability
A cancelled room is only a loss if it cannot be sold again. A city hotel with steady walk-in demand can resell a room within hours.
A remote resort on a holiday week cannot, because everyone who wanted those dates booked months earlier and has already made other plans.
The cancellation window therefore approximates how long the property needs to find a replacement guest, which is why it lengthens with remoteness and seasonality.
Rate type does most of the work
Properties sell the same room on several rate codes: flexible, semi-flexible, advance purchase and non-refundable, each with different terms.
The discount attached to the stricter codes is compensation for the guest accepting the resale risk instead of the hotel.
Comparing hotels on headline rate alone therefore compares different products, since one price includes an option to change plans and the other does not.
Deposits change the exposure
Many resorts take a deposit at booking, sometimes a full night and sometimes a share of the total, and that deposit may become non-refundable at a defined point.
The deposit converts a promise into a payment, which reduces no-shows and gives the property something to keep if the guest disappears.
Deposit terms and cancellation terms are separate clauses and frequently have different dates, which is a routine source of dispute.
Channels layer their own rules
Booking through a third-party site adds that site's policy on top of the hotel's, and the stricter of the two usually governs.
Package and prepaid bookings are the most restrictive, because unwinding them requires cooperation from every supplier involved.
Direct bookings tend to be the easiest to modify, which is one of the more concrete advantages of booking with the property itself.
Exceptions exist but are discretionary
Properties routinely waive penalties for illness, bereavement, weather events or operational failures on their own side, but that is policy rather than obligation.
The likelihood of a waiver rises with loyalty status, with how the request is made and with how far ahead the cancellation arrives.
